Your first day — set up in 20 minutes
The exact order to set up a new business: basics, products, team, printer, first sale.
New to IntelliPOS? Do these steps in order and you'll ring your first real sale within the hour. Each step links to the full page if you want more detail.
1. Check your business basics — 3 min
Open Settings. Confirm your currency, timezone, business name, and (if you charge it) your tax rate. These flow into every price, receipt and report — set them before anything else. See Settings, explained.
Your currency locks after the first sale — check it now, not later, in Settings → Business → Business profile.
Your timezone decides when your business day closes. Signing up picks it from your device where your country has several (the US, Canada, Australia). If it's wrong, change it in the same place — Review change shows exactly what it affects first.
2. Add your products — 10 min for a small catalog
Go to Products → Add product: name, price, and (for shops/pharmacies) the stock you have on the shelf. Three faster ways when you have many:
- Scan the barcode — known items fill in their name automatically.
- Snap your notebook or a price list — the AI reads it into draft products you just review and confirm.
- Import a spreadsheet — Products → Import.
Cafés and restaurants build a menu instead (sections, dishes, extras) — see your business type.
3. Add your team — 2 min per person
Team → Invite. Pick each person's role — cashier, manager, waiter — and staff without email get a PIN for the till instead. One entry puts them in the till switcher, the schedule and Team Pay all at once. See Roles.
4. Connect your printer — 5 min
Plug the printer into the till device, ring a test sale and pick the printer on the receipt screen — see Printers, scanners & cash drawers. A thermal receipt printer makes the till feel real from the first sale — but you can sell without one and add it later.
5. Ring your first sale — 1 min
Open the till, open a shift with the cash float in the drawer, tap a product, take payment, print or WhatsApp the receipt. That's the whole job. See Ringing a sale.
6. Close the day
At close, tap Close shift, count the drawer, and the Z-report shows expected vs counted — your money story for the day, kept forever. See Shifts & the cash drawer.
7. Put IntelliPOS on every device — 5 min
Install the Windows app on the till and the phone app in your pocket. Everything stays in sync — and the till keeps selling even when the internet drops.
That's it. From here, explore Customer credit for customers who pay later, Reports for what the numbers mean, and the AI Analyst — ask it anything about your business in plain words.
