Orders, bookings & messages from your website
Paid online orders, gym sign-ups, table bookings and the message form — straight into your till and inbox.
Messages and bookings from your website
Every site carries a Send us a message form. A message lands in Sidebar → Leads the same second, you get an email (and a WhatsApp nudge where WhatsApp is your phone line), and you reply with one tap — by text in the US/Canada, on WhatsApp elsewhere. Mark it contacted, won or closed.
Restaurants with Reservations switched on (Settings) get a Book a table form on the site. A website booking is an ordinary reservation — it shows in Reservations and on the floor with a "Website" tag. The form refuses times you're closed (from your opening hours and any holiday or special day you've set), times in the past, and anything over 90 days out, and tells the guest why.
Online Orders (restaurants, cafés, shops)
On Website, switch on Online Orders. Every item on your menu or online page gets an Add button; the customer picks options, pays by card, and gets a calling number and "ready in about 20 minutes" (you set the minutes). The money goes to your own Stripe account (connect it under Settings → Card payments); IntelliPOS takes nothing per order. Orders are only taken inside your opening hours (a holiday you mark closed pauses them for the day), and an item you mark sold out shows Sold out on the site the same second, with its Add button hidden.
Your team knows the moment it arrives. The till, the floor and the kitchen screen play a short chime and show the order's name and number (sound starts once someone has tapped the screen; a wall screen shows a New pulse instead). If one of your tills has a paired printer — the Windows till app, or a browser with its USB printer — it prints the kitchen ticket (restaurants) or the order slip (cafés and shops) by itself, headed PAID ONLINE. Only one device ever prints it; if its printer fails, another till takes over.
Restaurants: the order lands on your floor, the floor board and the kitchen screen as a to-go order marked Paid online. When it's ready, tap it → Complete order. A paid order's items can't change — the payment has to stay exact — so if the customer wants something extra, the order screen offers New ticket for (their name) in one tap. To give the money back, use Can't fulfil this order? (below) rather than voiding it.
Cafés and shops: the order appears on the till under Online orders (above your parked carts) with the customer's name, what they ordered and how long they've waited. Tap it → the order opens already paid → Complete order at handover (the slip already printed on arrival; Print order slip prints another). Nothing to collect; the sale files into the open shift like any other, online or offline.
Keeping track afterwards: receipts read Paid online · Visa ••4242, the Orders page filters From → Website (paid online), and the Sales list marks every website sale Paid online.
Can't make it? On that same screen tap Can't fulfil this order?, pick the reason (sold out, closed, the customer asked) and Refund & cancel: the full amount goes back to the customer's card from your own Stripe account, they get an email, the order leaves the board. It needs a connection (it talks to Stripe) and can't be undone. Shops that track stock refund automatically at payment time if an item sold out while the customer was paying. An order you already completed is refunded from its receipt, like any sale.
Online Sign-ups (gyms)
On Website, switch on Online Sign-ups and write the membership terms new members agree to. Every plan on your site gets a Join online button: the person picks a plan, enters name, phone and email, agrees to your terms, and pays by card on your own Stripe account. The same second they are an active member at your front desk — search their name or phone, check them in; a Joined online chip tells you they never came by. Their sale is recorded like an auto-pay renewal (no drawer) and shows in your reports. Plans marked auto-renew charge their card each term; the desk can stop it any time. The member gets a welcome email with their plan and dates.
A plan marked Charges sales tax shows the tax and the total on the join page before the person pays; their card is charged the total, the welcome email and your new-member notice say what was paid including tax, and the invoice from your card processor carries the tax as its own line.
The terms are kept by version: the member's page shows which wording they agreed to and when, even after you've edited the text.
Delivery apps — coming soon (restaurants and cafés)
We're building two things, and they're not live yet — there's no date, because DoorDash, Uber Eats and Grubhub each approve partners first:
- Delivery-app orders on the same screen — DoorDash, Uber Eats and Grubhub orders arrive in IntelliPOS next to your own, print in the kitchen, and follow your menu, 86s and opening hours automatically.
- Delivery for your own website orders — orders from your IntelliPOS website delivered by DoorDash drivers, without the marketplace commission.
See what's coming in Settings → Delivery apps and tap Tell me when it's ready — we'll switch it on for you the day it ships. Until then, keep using your delivery tablets the way you do today.
